From clunky to clear: Streamlining a core tutor workflow

How I Simplified Session Planning and Helped a Fast-Growing EdTech Startup Scale with Confidence

Amid pandemic school closures, Subject (then known as Emile) pivoted from test prep to a full-time remote secondary school. I joined the team to help reimagine the MVP. Building on limited prior research, I collaborated with educators and stakeholders to redesign key flows, wireframes, and the UI design—tailoring the platform for students, tutors, and parents.

Challenge

Tutors needed a structured way to plan lessons, assign work, and track mastery—but the existing Session Builder tool was fragmented, hard to navigate, and easy to exit by mistake. I redesigned it into a step-by-step flow with clear visual hierarchy, built-in progress tracking, and intuitive editing—based on interviews with tutors and feedback from the education team.

I redesigned it into a step-by-step flow with clear visual hierarchy, built-in progress tracking, and intuitive editing—based on interviews with tutors and feedback from the education team.

Results

The redesigned experience gave tutors better control over instruction and made it easier for parents to see their child’s progress. User testing showed increased task completion speed, better session accuracy, and reduced confusion. The launch-ready MVP enabled Subject to enter the remote education market with a more polished, user-aligned product.

Process

Review & Revise: I began by reviewing the previous designer’s work—initial wireframes, proto-personas, and a few tutor interviews—created for a different product scope. Since Subject had pivoted from university test prep to full-time remote schooling, this earlier work no longer aligned with the team’s needs. I audited the materials to identify what could be retained, then collaborated with stakeholders to define a new set of user stories grounded in the updated vision. We conducted user interviews, surveys, and analyzed in-app analytics to understand the pain points and user needs. We also studied competitor apps and industry trends to gather insights


Rethinking the User Flows: Next, I redesigned the user flows to reflect how tutors, students, and parents would interact within a more structured school environment. These flows were translated into mid- and high-fidelity wireframes, incorporating feedback from the education team throughout.


Heuristic evaluation: I began by auditing existing flows and prototypes, identifying key usability issues like unclear navigation, visual clutter, and weak content hierarchy. These pain points were especially evident in the Session Builder—a critical tool for planning and documenting lessons.

I streamlined the interface, clarified task flows, and introduced a real-time preview panel to give tutors better visibility into session content. Custom icons improved the clarity of topic hierarchies, addressing confusion surfaced in early user interviews.


Prototypes, User Testing, & Handoff: Prototypes were shared with stakeholders in weekly reviews and tested with teachers and tutors on the team, enabling rapid iteration. Once the Session Builder and other core flows were validated, I prepared final deliverables for developer handoff, including interactive Figma prototypes and annotated design specs.

Conclusion

The redesign of Subject’s platform helped the company make a decisive pivot from university test prep to a scalable full-time remote school offering. By rethinking the core user flows and interface, the new design enabled tutors to deliver higher-quality instruction, reduced friction in session planning, and improved transparency for parents.

The streamlined Session Builder and progress-tracking tools helped tutors more easily monitor learning outcomes, supporting Emile’s goal of delivering consistent, mastery-based education. The clearer structure and responsive design also made the platform more appealing and accessible to new families during a period of rapid growth.

Ultimately, the updated UX laid a strong foundation for Emile’s new business model, supporting user acquisition, retention, and program credibility in a highly competitive space.
